Door access and attendance are different needs
Before requesting a fingerprint device, decide whether you need attendance reporting, controlled door opening or both. An office may need time reports while a warehouse needs permissions for specific areas. Ask the supplier to identify the functions actually included in the proposed hardware and software rather than assuming every device supports both workflows.
Prepare a door and user list
For each door, note its location, type, existing opening method and authorized user groups. Include operating hours, visitors and contractors, and who approves adding or removing users. This provides a basis for comparing quotations and arranging a survey. An internal office door may require different equipment from an external entrance or warehouse.
Review reports and software before purchasing
For attendance, provide examples of required reports and shift patterns and identify existing software. Ask to see outputs and data export, and clarify subscriptions, licenses and additional setup services. HR integration is not automatically included with every device; confirm compatibility and demonstrate the required workflow before including it in the quotation.
Agree operating responsibilities and exit arrangements
Discuss exit methods, power-loss behavior and coordination with the approved safety design with qualified specialists. Identify responsibility for accounts, user records and retention under organizational policy. Include staff offboarding and secure administrator handover in operating procedures. Assess the actual need for fingerprint collection before choosing the identification method.
Use a practical handover checklist
Test permitted and denied access with test accounts, schedules and required reports within the agreed scope. Request an equipment and door list, user-management guidance and a fault-reporting process. Send City Technology the door and user counts, Dammam or Eastern Province location and reporting needs to scope supply, installation, configuration and maintenance.
